VENDOR APPLICATIONS

Vendor application form: what to ask and why

A good vendor application form does more than collect a business name and email. It gives the organiser enough structured information to select a balanced lineup, plan the layout, understand practical requirements and reduce last-minute questions.

Core fields every event vendor application should collect

Start with the information you will genuinely use: business or stall name, contact name, email, phone number, website or social link, product category and a concise description of what the applicant plans to sell. Consistent fields make applications easier to compare than a mixture of emails, direct messages and documents.

Useful vendor application fields

  • Business / trading name and primary contact
  • Email and event-day phone number
  • Website, Etsy shop or public social page
  • Product or service category
  • Description of products to be sold
  • Photos or a link showing products and previous stall setup
  • Pitch or stall size requested
  • Electricity or special setup requirements
  • Food, drink or other permit-related category where relevant
  • Accessibility or vehicle access requirements

Separate selection questions from event-day logistics

Application forms often become bloated because organisers ask everything at once. A better workflow is to collect the information needed to make a decision first, then confirm detailed arrival and setup information with accepted vendors. This keeps the application shorter while still giving the organiser a clean vendor record.

Use consistent product categories

A defined category list helps prevent an event becoming over-weighted toward one type of seller. Typical craft and makers market categories include jewellery, ceramics, art and prints, textiles, candles and home fragrance, food and drink, skincare, stationery, woodwork, vintage and community organisations. Include an “other” option rather than trying to predict every niche.

What not to copy blindly

Templates found online often contain jurisdiction-specific waivers, tax language or insurance clauses. Do not copy those simply because they look official. Operational fields are easy to standardise; legal terms should reflect your event, venue and location. MarketVendorPack deliberately keeps its reusable application template operational rather than pretending to create a legal contract.

After applications close

Move accepted vendors into one master list containing stall number, contact details, category, arrival time, power needs and internal notes. That same structured list can then drive the welcome pack, check-in sheet, stall allocation and run-day paperwork instead of being retyped several times.
