Vendor check-in sheet: simple but essential

A printed vendor check-in sheet is one of the cheapest ways to make setup calmer. It gives the organiser desk an immediate view of who has arrived, who is late and where each vendor is meant to go.

Keep private data off public versions

Your organiser master list may include phone numbers and internal notes. The check-in sheet usually does not need all of that information. Keep the public-facing or desk-facing copy limited to what the team needs.

Use it with the arrival schedule

If access is constrained, sort a separate arrival schedule by time rather than stall number. This makes it easier to see which vendors should be at the loading area next.

Have a paper fallback
